Job Description

The Inventory & Ordering Specialist will be responsible for assisting with operational maintenance related to inventory control and security. This position will contribute to successful day-to-day operations by ensuring all practice locations have the correct materials they need to function at optimum performance. Although rare, the ideal candidate will also be available to respond to emergency issues that may arise during non-peak business hours and provide on-site support at any of our locations.


  • Assess supply and material needs based on current inventory and projected needs in multiple office locations and generate orders for purchase
  • Compile order requests for clinical and dental supplies
  • In conjunction with management, process orders for various dental supplies, office supplies, PPE, operations equipment, IT hardware components, etc.
  • Review I.V. Sedation medicines each month to determine use and projected need to place orders
  • Check current supply stock to ensure materials are not expired
  • Assist the clinical staff with ensuring dental operatory rooms are adequately stocked at the beginning or end of each day
  • Research pricing on various items to ensure cost control
  • Communicate with vendors as needed to ensure accurate delivery of items
  • Maintain ordering system and various spreadsheets to ensure effective cataloguing, record-keeping, and transfer of information between necessary team members
  • Coordinate the transport and delivery of supplies if dividing them between various office locations
  • Order parts for dental, office, and facilities equipment as needed based on approvals from members of Management
  • Maintain required documentation for any ordered parts
  • Track, organize, and unload shipments and deliveries on-site
  • Verify inventory count and condition at time of delivery and match deliveries to purchase orders/invoices
  • Track all incoming and outgoing packages and maintain supplies in an organized manner
  • Act as a liaison for departments with questions about supply product changes and resolve inventory issues
  • Travel between offices to monitor inventory supply and ensure consistency in materials stocked
  • Meet with members of management and facilities teams to communicate timely updates
  • Assess company vehicles periodically and complete mandatory maintenance at scheduled intervals
  • Offer support in compliance with OSHA & HIPAA policies

  • Previous experience working in a dental or medical setting is preferred
  • Previous high-volume inventory, purchasing, and/or ordering experience is preferred
  • Knowledge of basic mechanical functions to install and/or replace equipment parts
  • Strong verbal and written communication
  • Excellent interpersonal and organizational skills
  • Proficient with computers and Excel Spreadsheets
  • Strong and accurate data entry skills
  • A thorough understanding of the operation and use of various office equipment (e.g. computers, printers, scanners, copiers, fax machines, modems, etc.)
  • Strong work ethic, integrity, and attention-to-detail
  • Able to lift up to 100lbs
  • Customer-service driven with the ability to build effective business relationships with a wide range of people
  • Willingness to work in a professional setting while also completing tasks that may require getting dirty
  • Ability to take initiative to resolve problems with a sense of urgency
