Job Description

Tebo Dental, an Atlanta-based dental group, is looking for an experienced Operations Manager in the field of dentistry who is motivated, team-oriented, and a dedicated professional. The ideal candidate for this position will be highly experienced in dental/medical operations management, extremely professional, a proven leader, have exceptional attention-to-detail, and be honest, intelligent, organized, dependable, driven, and forward-thinking. You will be expected to learn our dental office operations so you can act as a support system for multiple departments and practice locations while elevating the patient experience on a daily basis.

Our practices are located in Lilburn, Peachtree Corners, Dacula, and Gainesville and are close to highways for easy commuting.

Responsibilities:

  • Support the daily clinical and non-clinical operations of the office by enforcing office policies and protocols and overseeing the delivery of quality dental care
  • Train in all clinical and administrative departments as to provide coverage and training of staff for any position as needed, including but not limited to sterilization, hygiene assisting, insurance verification, accounts receivable, call center, check-in, check-out, etc.
  • Monitor patient satisfaction in office and via satisfaction surveys; Act with urgency to resolve any quality control issues in accordance with the patients’ needs, company policies, and regulated standards, offering feedback to the team as necessary
  • Ensure staff is proactively educating patients and parents on the importance of their oral health and recommended treatment to increase awareness and case acceptance rates
  • Streamline operational procedures and implement solutions to increase efficiency
  • Maintain HIPAA compliance and patient confidentiality within the offices
  • Maintain all hygiene and safety regulations as mandated by OSHA
  • Lead meetings, trainings, and huddles with staff
  • Audit schedules for errors and/or inconsistencies
  • Manage the blocking/unblocking of the schedule to reflect scheduling needs and maximize productivity
  • Manage unscheduled treatment reports to ensure timely follow up with patients
  • Create challenges/incentives to encourage and motivate your team
  • Ensure production goals are met daily
  • Maintain the appearance and functionality of the office
  • Take initiative to troubleshoot and complete minor repairs on dental equipment
  • Follow up on the resolution of any item(s) submitted for repair or replacement
  • Monitor supply inventory and ordering as needed
  • Coordinate staff coverage within the office
  • Oversee day-to-day employee relations, performance, and productivity
  • Ensure appropriate resources, support, and training materials are available
  • Conduct periodic meetings to reconnect with staff and complete yearly reviews
  • Discipline insubordinate staff in coordination with human resources and follow protocol to submit documentation
  • All other duties as assigned

Qualifications:

  • At least 3-5 years of dental office management experience is required
  • Knowledge of dental terminology and dental office procedures is required
  • Experience using Dentrix is a plus
  • Travel between our Lilburn, Dacula, Gainesville, and Peachtree Corners practice locations is required on a weekly to monthly basis
  • Must be available to work Monday through Friday and Saturdays on occasion (i.e., during school breaks, holiday weeks, etc.)
  • Must be able to bend, stoop, crawl, twist, and lift items up to 25 pounds
